We are looking to hire a Personal Assistant & Sales Support Executive to support the executives in our company. You will be the one to organize and maintain the managing director and sales executives schedule and assist them by performing a variety of administrative and sales processing tasks. To provide general and administrative support to the organisation’s MD, sales support teams.
Duties & Responsibilities
Data Capture
• Capture and file contracts
• Capturing of budgets for all sales teams
• Capturing of monthly figures on sales system
• Internal User support
• Update Debtor’s List on Sage
Document Management
• Preparation, typing, dissemination and filling
• Analyse and manage the development of programs and reports for users, to enable them to access information or for the downloading of information for further analysis
• Preparation of Usage requests
• Preparation for all documentation required for sales or support meetings eg: Data Insight reports
General Support
• Assist sales staff or specialist with sales documentation
• Assist support team with documentation collation for client meetings
• Prepare usage
• Set -up appointments
• Schedule appointments & co-ordinate team diaries
• Set-up facilities, invite attendees, prepare & send agendas and minutes
Office Admin
• Raise PO’s for all HQ and branch office requirements
• Ensure all necessary consumables needed for the business is procured and made available as and when needed
Sales and General Training Facilitation
• Set-up facilities, invite attendees, prepare and distribute agenda & minutes
• Keep accurate records of attendees and evaluation forms and related administration
• Follow up on attendance
Qualifications
Desired Experience & Qualification
• Secondary/Graduation level
• Experience in sales management, sales and negotiation closure; administration
• Communication (written and verbal)
• Attention to detail
• Proactivity and information accuracy and fast response will be the basic key to success
• Customer orientation
• Own car and valid driving licence
• Capable of providing quotes, offers, presentations and proposals
• Must be able to organise, schedule, plan and conduct own sales meetings
