Accurately record and manage timesheets to ensure precise tracking of employee work hours.
· Scan and verify job sheets, meticulously cross-checking them with timesheets for accuracy.
· Process invoices from suppliers by meticulously scanning and documenting them for accounting purposes.
· Manage preventive maintenance contracts by issuing new logbooks and updating existing ones upon renewal.
· Monitor and prepare status reports for Preventive Maintenance Compliance Quality (PCQs).
· File preventive maintenance job sheets, ensuring the retention of records for the last two years.
· Control the issuance of job sheets, requisitions, and purchase order books to maintain organizational control.
· Monitor job sheets, identify open jobs, and proactively follow up with coordinators/technicians for timely completion.
· Address queries arising from missing job sheets, invoices, and requisitions with efficiency and professionalism.
· Handle petty cash transactions accurately and responsibly.
· Generate monthly reports of timesheets for HR and prepare preventive maintenance reports as required.
· Receive and issue quotes from the Technical team and follow up on quotes efficiently.
· Manage advanced payments, order processing, and coordinate shipping upon quote approval.
· Process labor and material details on job sheets, sending them directly to accounts for accounting purposes.
· Issue new preventive maintenance contracts and handle renewals in a timely manner
