Office Administrator - Aftersales Team

• Answering incoming calls and responding to customers’ emails in a timely manner and follow up where
necessary
• Creating repair jobs into the internal system and allocating them to the appropriate technicians
• Contacting clients to schedule service appointments
• Creating service jobs into the internal system and allocating them to the appropriate technicians.
• Issuing quotes for parts and repairs to clients.
• Closing and invoicing all servicing/repair/mechanical jobs and sending them via email along with the
respective job sheets to the administrators.
• Identify and escalate issues where necessary to the manager
• Generating reports of tasks given as necessary.
• Issuing purchase orders and RNF when authorized.
• Apply appropriately mannered communication skills with clients, colleagues, and superiors.
• Build positive relationships with customers, always apply excellent customer care, and oversee the
preservation of both the clients’ and company’s property and equipment.
• Share information across the organisation by using the right communication flows.
• Be aware of any health and safety issues; also understand appropriately ergonomic techniques.
• Maintaining and promote a positive attitude toward customers and fellow employees regardless of the
circumstances.
• Attend any training provided by the Company and sit for the respective assessments accordingly.
• Maintain customer’s trust relationship by keeping service information confidential.
• Follow all company’s filed procedures and protocols.
• Any other duties as may be necessary from time to time.

Qualifications

• Minimum of 1-year experience in a similar role within a customer-oriented industry preferably in after sales
services.
• Excellent written and oral proficiency in English and Maltese.
• Strong proficiency with the Internet, Microsoft Office, and electronic devices.
