Administrative Assistant / Guest Relations

We are a highly awarded and established restaurant, Fifty Nine Republic in Valletta, currently looking for an enthusiastic and hardworking administrative assistant/guest relations executive, to join our team, being based in our Sliema administration office. The position involves working 9am to 5pm, Monday to Friday in the office (with 1 hour break) and 12 noon to 5pm on Saturday, which can be remotely.

Qualifications

The Responsibilities
• Taking client reservations, inquiries, alterations and cancellations via phone and email. Inputting booking into our booking app, allocating tables, managing seating capacity, maximizing revenue with booking placement etc.
• Follow up calls and emails to reconfirm tables and bookings, confirming attendance, number of guests. Taking note of any allergies, special occasions/requests.
• Inputting staff hours from daily sign in sheets on excel and formatting monthly hours for payroll.
• Managing staff sick leave and holiday leave on excel
• Working closely with the Director, assisting to issue payment runs and cheques as approved and general communications to suppliers. Printing payments and filing paperwork for the accountants team.
• Organising supplier invoices and reconciling monthly statements from suppliers.
• Preparing end of month payments to suppliers and for overheads, batched by cheque or card payments for Director’s approval.

Successful candidate must have the ability to work alone, be highly organized, proficient in excel and have excellent communication skills, be trustworthy and reliable. Previous administration experience and excellent English.
