About the Role:
We are seeking a highly organized and proactive Business & Logistics Coordinator to support our import business while assisting the current administrative team. The ideal candidate will handle logistics, supplier coordination, sales support, and general administrative tasks, working closely with the team and reporting to the Business Manager.
Key Responsibilities:
?? Logistics & Supply Chain Support:
Assist in coordinating import/export operations to ensure smooth deliveries
Handle shipping documentation, customs clearance, and supplier communications
Track shipments, manage inventory records, and resolve logistics issues
Support procurement by negotiating with suppliers for better pricing and terms
?? Sales & Customer Support:
Assist in identifying new clients and maintaining strong relationships with existing customers
Prepare quotations, invoices, and process orders
Support sales activities, including follow-ups and business development tasks
?? Administrative & Team Assistance:
Work closely with the administrative team to maintain records, update databases, and assist in office operations
Manage correspondence, handle phone calls, and support day-to-day business functions
Assist in financial transactions related to logistics (invoices, payments, cost tracking)
Qualifications
Requirements:
? Experience in logistics, sales, or administrative support
? Strong organizational and multitasking skills
? Proficiency in Microsoft Office, business software, or ERP systems
? Ability to work efficiently within a team and follow instructions from management
? Knowledge of import/export regulations is an advantage
? Strong communication and problem-solving abilities
? Fluent in [English, Maltese, or other required languages]
