Customer Services Receptionist

ROLE AND RESPONSIBILITIES
• To assist with the coordination of the logistics and planning schedules for the deliveries and installations of goods.
• To investigate reasons behind uncompleted installations and through liaison with other departments ensure that any missing parts/items are on order and liaise with the clients regarding the timeframes expected to complete the uncompleted task/s.
• To manage the email inboxes for Operations, Orders & Sales ensuring that they are kept under control.
• To assist your colleagues in Sales, Logistics & Operations with any urgent workloads when required.
• To maintain a log of calls received by clients with their issues, then investigate their queries with the relevant departments and strive to get back to the client within the 24-hour timeframe.
• To assist with the planning for the Measurement schedule and contact clients to confirm the appointments set.
• Maintain the office/showroom filing systems up to date.
• To review the daily status report and identify the installations which have pending issues then liaise with the logistics and stores to understand the timeframes and the available appointments to give to the clients.
• Keep the office clean and clear from any obstructions and safety hazards.
• Collect all the duly signed delivery forms for the jobs done from the delivery suppliers, sub-contractors and our installers and file them in the respective filing process.
• Assist the Senior Administrator when required with the delivery processes for all freight / cargo schedules, ensuring that any cargo received is delivered to the store’s location without delay.
• To attend development sessions and/or training sessions both internally and externally when requested.
• To plan the appointments for any fixings received by client through liaison with your colleague in logistics.
• To act as an ambassador for Adore More and handle any customer relation task necessary ensuring through discussions with the Management you find the best resolution for both the Company and the customers.
• To offer the full support to the sales team and assist them to the best of your ability when they require assistance dealing with clients visiting the showroom.
• To ensure that all emails are acknowledged to the clients or suppliers within 24 hours from receipt of email.
• Adhere to the company’s processes and procedures and assist the department in establishing new systems to improve the workflows.
• Assist the line manager with any other day to day activities or projects and take ownership for the effectively running of the operations office.
• To be the first point of contact when the clients calls the showroom/Office and act as a telephone operator for Adore More, ensuring you portray a professional image of the company.
• Follow up on any pending issues/queries ensuring you chase the relevant departments constantly to ensure that the pending jobs are resolved without further delays and inconvenience to the client and keep the client updated throughout the process.

Qualifications

• ‘A’ Level standard of education or above
• Previous experience in logistics
• Valid driving license.
• Excellent knowledge of spoken/written English and Maltese.
• Previous experience within the construction or aperture segment is a priority.
