Shipping Clerk

A vacancy has arisen for a Clerk to work within the Shipping Department.

The selected candidate shall be responsible to coordinate the effective and efficient delivery of shipments, limiting delays, and efficiently carrying out all shipping invoicing and customs clearance procedures.

The main tasks, amongst others, include:
• Following up and carrying out all ISO shipping procedures
• Managing proper shipping connections and bookings with shipping agents and forwarders
• Booking containers / trailers / airfreight and couriers
• Keeping track of cargo, both export and import
• Notifying departments of scheduled departure / arrival of trailers / cargoes or any envisaged delays
• Notifying Head Office and receiving clients by email of shipment’s details including loading list and of any envisaged delays
• Communicating with forwarders and logistics to provide empty containers / trailers and for the collection and departure of containers / trailers
• Communicating with service providers for the collection of export couriers and airfreights
• Securing packing of airfreights and issuing security forms
• Issuing customers invoices for exported items and credit notes for discrepancies
• Providing all necessary documentation for clearance and release by authorities
• Processing customs National Export System (NES) and National Statistics Office (NSO) declarations
• Maintaining all data in shipping import / export system
• Processing customs declaration through CES system and ensures that cargo is released from customs in a timely manner

Qualifications

Applicants for the post should ideally possess:
• At least MQF level 3 in mathematics and English, other education certificates will be considered an asset
• Good communication and analytical skills
• Good knowledge of company software and Microsoft Office applications especially Excel and Word
• Good command of the English language in written as well as verbal form
Experience in a similar position and knowledge of shipping and customs practices will be considered an asset.
