Tendering Executive

• Handle all tendering requirements: responsible to review tender documents in detail, identify salient aspects, timelines, required supporting material and information;
• Responsible to liaise with respective internal departments as well as third parties as required to ensure accurate collation of material needed; responsible for obtaining quotes from approved suppliers, comparing and evaluating prices/quotes and specifications for service providers/contractors; estimation of required man-hours; responsible for compilation of bills of quantities, provision of all required supporting material;
• Estimate if any Performance Guarantee/Bid Bond is required and liaise with Finance Department for its arrangement as per the requirements of the tender;
• Responsible for the calculation of project cost, budgets and tendering price to be submitted (latter being subject to approval by the Director);
• Attend the Technical Clarification meetings and Site visits scheduled by the clients and prepare a formal response;
• Responsible for the accurate and timely submission / uploading on portals of a tender document that meets the set specifications and for follow up until adjudication;
• To ensure that tender submissions are standardized in terms of format, font, logo, etc. in line with customer’s tender requirements;
• Handle commercial proposals/bids: responsible for the planning and respective costing of project implementation in line with the customer's requirements, establishing the quantities of materials required (bills of quantities), sourcing of prices / quotes from approved suppliers and their comparison to identify the most cost-effective solutions; responsible for cost management and cost planning of projects on which to create a costing model for the purpose of issuing the customer with a proposal, service level agreement and payment terms for the implementation of the project;
• Responsible for the general administration, maintenance and upkeep of paperwork and records pertaining to upcoming, ongoing, concluded or failed tenders and projects. Ensuring data compilation to allow for immediate status reports to supply required information to management;
• Undertake other Administrative tasks as required;
• Other relevant duties as may be assigned by the Company from time to time.


Minimum of 2 years experience in a similar position
Fluent in English &/or Maltese
In possession of a valid driving licence
